Privacy policy

Keiji Board is a dojo notice board. Students subscribe; the dojo posts. Instructors never see a student's email or phone number. This page says exactly what we store and why.

What we collect

Only what the board needs to work:

• Display name — first name and last initial is enough. We never ask for a legal name or date of birth.
• Dojo membership — which class you joined.
• Push token — so we can notify the device or browser you opted in on. Encrypted at rest.
• Email — for magic-link sign-in; optionally for a student who wants their spot to survive a new phone; and a parent/guardian email when someone under 13 joins, used only to complete consent.
• Your own notification email or mobile number (optional) — only if you add one under “How to reach me”, and only after you confirm it (a link for email, a YES reply for a text). You confirm it is your own, and that you are 18 or older or the parent/guardian adding it. Stored encrypted; instructors, covers, and substitutes never see it.
• The dojo's front desk email or phone (optional) — a home instructor may add the front desk of the facility where they teach. The desk confirms before it receives anything, and only hears from us when the sender ticks “Also notify the front desk” on a cancellation.

We do not collect contacts, location, payment data, or a date of birth. The app never reads your address book. Invites go through your phone's own share sheet.

Children under 13

Joining starts with an age gate. If the student is under 13, nothing about them is stored until a parent or guardian completes a consent link we email. Until that click, the sensei's roster only shows “consent pending” — no name, no device, no push token. Consent is recorded as a timestamp and method on the child's account, not as extra personal data.

How we use it

• To show the board and to send the push you opted into when the dojo posts (a home instructor, a cover instructor during a class they took, or a substitute with a time-boxed link).
• To email or text a class cancellation to an address you added and confirmed. Ordinary notes go by email only if you asked; texts are sent for cancellations only.
• To show the sensei an honest reach count — how many subscribers look reachable — before they post. Reach is not a delivery guarantee.
• To let a sensei remove a member, and to let you delete your own account.

We do not sell data, run ads, or build marketing lists.

Who else sees it

A few processors sit on the path, not as recipients of a mailing list:

• Our hosting and database (the Keiji Board server).
• The email provider that delivers magic-link, consent, and cancellation emails.
• The SMS provider that delivers cancellation texts, if you added a mobile number. It receives the number and the text.
• The push providers that deliver notifications (FCM, APNs, or Web Push), which receive only the device token and the notification payload.

A cover instructor sees the dojo name, class offers, and a compose box while their class is on — never student names, emails, or phone numbers.

A substitute posting from a web link sees the dojo name, a reach count, and a compose box — never student names or contact details.

Post images, if attached, are stored privately and served only to people in that dojo. Location metadata is stripped on upload.

How long we keep it

As long as the membership or account exists. A sensei can remove a member; you can delete your account, which cascades push tokens, memberships, and delivery records. We do not run a silent expiry sweep on unclaimed student devices at MVP — push still works, and cleanup is the sensei's remove action.

Your choices

• Don't join, or leave by asking the sensei to remove you, or delete your account in Settings.
• Reply STOP to any text to stop all texts to that number, from every dojo, at once. Every email has a one-click unsubscribe. You can remove an address in Settings at any time.
• Leave a dojo yourself in Settings; your other dojos and your addresses stay.
• Turn off notifications at the OS / browser. The next time the app or site checks, reach will stop counting you as reachable.
• A student can later add an email (“save your spot”) so membership survives a new device. That step is optional and never required to receive posts.

This website

The web client is the same product as the app: same API, same age gate, same consent rules. If you enable browser notifications we store a Web Push subscription as a push token, same as a phone.
